Help
The Tweens app helps mentors plan the gatherings, keep track of tasks, children and photos, and reach parents and tweens. Here is an overview of what it can do, and answers to common questions.
Log inGetting started with a new group
- 1The main admin creates the group in Admin and makes one mentor the group leader. The group leader adds the other mentors (name and email) – they get access the moment they log in with the same email.
- 2The group leader sets up the term under Plan: dates, times, place and which gatherings are only proposals. Themes and activities can be chosen from Themes and the Idea bank.
- 3Each mentor logs in (fastest with Google), enters their name and adds a photo of themselves on My page – it is used in the presentation and the name training.
- 4Add the children under People, or let the parents do it themselves via the invitation. Photos of children require a parent's consent.
- 5Connect the Telegram groups to the app: add the bot to the Telegram group and type the /koble code from Settings there. Then you can send the programme and polls straight from the gathering. The share link (under Settings) can be given to parents and tweens without an account.
What the app can do
My page
Your start page after logging in – everything that concerns you.
- The next gathering with “Are you coming?”, your tasks (theme, activity, snacks) and open tasks in the group.
- Photos from the last gathering, so they are easy to add the day after.
- The challenge of the week, your name training, the theme you are preparing, your photo and your expenses.
Gatherings
The plan for the term as everyone sees it.
- Each gathering has a theme, activity, time, place and programme. Mentors share the tasks between them and tick “I'm prepared”.
- On the gathering page you plan the theme part and the activity part, with responsibilities, equipment and attachments. AI can suggest a programme based on the theme.
- The programme and the “Are you coming?” poll are sent to Telegram straight from the gathering. The answers come back to the app.
- After the gathering: upload photos, and send an expense claim for what you paid.
- The share link shows date, time, place and programme to parents and tweens without an account – never children or photos.
Plan
The group leader's tool for setting up and changing the term.
- Add dates in one go, mark gatherings as proposals until they are confirmed, and move or delete them.
- Choose a theme from the theme bank and an activity from the idea bank, and see who has taken which tasks.
- Add the gatherings to your calendar with the calendar link.
People
The children, mentors and parents in the group.
- Children with name, photo, gender, where they live and a fun thing to remember them by. Parents add and edit their own child.
- Learn the names: name training with cards that come back until you know them – and a challenge you can send to another mentor.
- Carpooling: who lives near whom, for arranging lifts.
- The group leader adds mentors, passes on the group leader role and invites parents with a link or QR code.
Photos
Albums from the gatherings – only for the mentors in the group.
- Upload many photos at once from your phone. A large photo opens in a window – arrow keys or swipe to browse, Esc to close.
- The presentation for the first gathering shows the children and mentors with names, for the big screen.
- “The term in pictures” is a slideshow of all the photos in the period – nice as a finale to the term.
- The photos are deleted automatically when the season is over.
Challenge
The challenge of the week for the tweens.
- A small challenge each week sent to the Telegram group. Choose from the catalogue or write your own, and see who has answered.
Themes, Materials, Idea bank and Quiz
The content you can use at the gatherings – shared by all groups.
- Themes: ready-made theme packs with Bible verses, discussion guides and links to BCC Media. Choose a theme for the gathering and the material comes with it.
- Materials: videos, songs and documents, sorted by theme and type.
- Idea bank: activities and games with equipment lists and experiences from other groups. Add your own ideas so everyone benefits.
- Quiz: make a quiz (with AI suggestions if you like) and run it on the big screen – the tweens answer on their phones with a code.
Telegram
The messages to mentors, parents and tweens.
- The programme for the next gathering is sent automatically a few days before, with a reminder. When and to whom is chosen per chat by the group admin under Settings.
- The “Are you coming?” poll counts mentors and tweens on the gathering. Mentors are linked to their account the first time.
- Messages from the app never contain children's names or photos of children.
Expenses
Get back what you paid – without a paper form.
- Press “Send expense” on the gathering, take photos of the receipts and enter the amounts. The app creates the “Expense reimbursement” form as one PDF with the receipts attached.
- The first time you enter your account number and draw your signature on the screen. They are saved on My page and used only in the form.
- Share the PDF to accounting straight from your phone, mark the expense as sent, and as paid when the money arrives. The group leader sees all expenses in the group.
Admin
For the main admin: groups, users and access.
- Groups with season end, language and country. Children and photos are deleted automatically when the season is over.
- Users and who is in which group, the Telegram chats, submissions to the idea bank, and the log of who did what.
Questions and answers
I've logged in but don't see a group. What do I do?
The group leader must add you to the group with the same email you logged in with. If you are already on the plan without an account, the place is linked to you automatically once your email is verified. Tell the group leader if that doesn't happen.
Can I use the app on my phone?
Yes, everything is made for mobile first. Add tweens.no to your home screen (Share → Add to Home Screen in Safari, or “Install app” in Chrome) and it behaves like an app.
How do I change language?
The language selector is at the top of the page. Your choice is remembered on your account, regardless of the group's language.
How do I say whether I'm coming to the gathering?
Press Coming / Maybe / Not coming on My page or on the gathering. If you answer the poll in Telegram, that counts too – the first time the group leader links your Telegram name to your account.
I'm doing the theme. Where do I find material?
Open the gathering and press the theme, or go to Themes. There you find Bible verses, discussion guides and material. On the gathering page you can plan point by point, and AI can suggest a programme you can edit.
I'm doing the activity. Where do I find ideas?
Press “Choose from the idea bank” on your task. The idea bank has activities with equipment lists and experiences from other groups – and you can add your own ideas afterwards.
Who sees the photos of the children?
Only logged-in mentors in the same group. Photos of children are uploaded only with a parent's consent, and everything is deleted automatically when the season is over. The share link and Telegram never show children or photos.
How do parents and tweens see the programme without an account?
Give them the share link from Gatherings (or send it in Telegram). It shows date, time, place, theme and programme – not names, children or photos. The group leader can make a new link at any time.
How do I add photos from the gathering?
On My page the day after, or on the gathering page under Photos. Choose many photos at once – they are shrunk on your phone before upload, so it's quick.
How do I get back money I've paid?
Press “Send expense” on the gathering, take a photo of the receipt and enter the amount. The first time you enter your account number and draw your signature. The app creates the PDF for accounting – share it from your phone and mark the expense as sent.
What does AI do in the app – and what does it get to know?
AI suggests quiz questions, theme programmes, messages and illustrations, and reads the shop, amount and date from receipts you upload – a mentor reviews everything before use. It never gets children's names, photos of children or lists of children.
How do I delete my account or information about my child?
You can change a lot yourself on My page and under People. If you want the account or the child deleted completely, tell the group leader or send a note via “Suggestions for the app”. See also the privacy page.
I have an idea for the app. Where do I say so?
Press “Suggestions for the app” at the bottom of the page or in the menu. Everything that comes in is read – and much of the app was made from such suggestions.
